Business Software & Systems

•    Accounting Software Setup & Migration — We implement QuickBooks Online, QuickBooks Desktop, and FreshBooks. Includes chart of accounts setup, historical data migration, vendor/customer lists, and staff training. We go beyond installation — we make sure the system is set up to produce accurate financial reports from day one.
•    ERP & Business Management Platforms — For businesses outgrowing basic accounting software, we evaluate and implement small business ERP solutions including Quickbooks Enterprise, NetSuite, Sage 50, and Odoo.
•    Payroll Software Implementation — We set up and configure Gusto, ADP Run, Paychex, and QuickBooks Payroll. Includes tax deposit setup, new hire reporting, and direct deposit configuration.
•    Point of Sale (POS) Systems — Implementation and integration for retail and food service clients: Square, Clover, and Toast, with direct sync to your accounting software.
•    E-Commerce & Payment Integration — WooCommerce, Shopify, and Stripe setup with automated accounting software integration so sales data flows to your books without manual entry.

Operations & Efficiency

•    Technology Audit — A systematic review of every software tool and subscription your business currently uses. We identify redundancies, unused licenses, security gaps, and missing capabilities. Most clients find $200–$500/month in immediate savings. Delivered as a written report with a prioritized action plan.
•    Business Process Automation — We map your current manual workflows and automate them using tools like Zapier, Make (Integromat), and Microsoft Power Automate. Common automations include: invoice reminders, new client onboarding sequences, inventory alerts, payroll notifications, and CRM data entry.
•    Cloud Migration & Workspace Setup — Transition from local files and servers to Microsoft 365 or Google Workspace. Includes email migration, file organization, sharing permissions, and staff training.
•    CRM Implementation — Set up HubSpot, Zoho, Salesforce Essentials, or Monday.com CRM to track your leads, clients, and follow-up sequences. We configure it to match your actual sales process — not a generic template.
•    Custom Reporting & Dashboards — Build KPI dashboards using your existing business data so you can see your key numbers at a glance without running reports manually. We work with Google Looker Studio, Microsoft Power BI, and QuickBooks reporting.
•    IT Vendor Assessment & Negotiation — Help evaluating contracts, SLAs, and pricing for internet, phone, software, and hardware vendors. We've helped clients renegotiate existing contracts and select better alternatives.

Emerging Technology & AI

•    AI Tools for Small Business — Practical, non-hype implementation of AI tools that save real time. We assess your workflows, identify where AI can help, and implement tools like Microsoft Copilot, ChatGPT (OpenAI), Claude (Anthropic), and Notion AI. We focus on actual ROI: hours saved, errors reduced, capacity freed up.
•    AI-Assisted Document Processing — Automate invoice processing, receipt capture, data extraction from documents, and email triage using AI tools integrated into your existing workflow.
•    Computer Vision Solutions (Custom) — For businesses with physical operations — food processing, manufacturing, packing facilities, agricultural operations — we design and build custom computer vision systems using YOLO-based object detection for quality control, fill level monitoring, defect detection, and unit counting on conveyor systems. These are purpose-built systems, not off-the-shelf software. Contact us for a consultation on your specific application.
•    Cybersecurity Basics — Password management, multi-factor authentication, backup verification, phishing awareness, and software update hygiene. We don't sell enterprise security packages — we make sure your business is protected against the most common threats.

Frequently asked questions

How is Small-Oak different from a regular IT consultant?

Most IT consultants focus on hardware, networks, and keeping systems running. We focus on the software and systems that run your business operations — accounting, CRM, payroll, automation, and data. More importantly, we understand your financials. When we recommend a technology investment, we can quantify the ROI in terms of hours saved, errors reduced, and what that means for your bottom line. That integration of financial and technology expertise is unusual and valuable.

Do you only work with businesses that already use QuickBooks?

No. We work with businesses across a range of accounting platforms including QuickBooks (Online and Desktop), Xero, Sage, Wave, and FreshBooks. We can also help you evaluate whether your current platform is right for your needs and migrate to a better one if not. If you're still managing your finances in spreadsheets, we'll help you transition to a proper system.

What size business do you typically work with?

Our technology consulting clients typically have 1–50 employees and somewhere between $500K and $10M in annual revenue. They're businesses that have outgrown the 'figure it out as we go' phase but aren't large enough to have a full-time IT or operations team. That's exactly the gap we fill.

How do you charge for technology consulting?

We offer both project-based and retainer-based engagements. A technology audit is a fixed-fee project. Software implementation is typically project-based with a clear scope and timeline. Ongoing technology support and advisory is available as a monthly retainer. We'll provide a detailed proposal after our initial consultation.

Can you help us figure out if we need new software or if we're not using what we have?

That's actually the most valuable question to start with, and it's exactly what our technology audit is designed to answer. We frequently find that clients are underusing software they're already paying for, or paying for multiple tools that overlap. We inventory everything you're using, evaluate how it's configured, and give you an honest assessment before recommending anything new.

What does a technology audit include and how long does it take?

A technology audit covers: all software subscriptions (what you're paying, what you're using, what you're not), your current accounting software configuration and accuracy, your data backup situation, how your systems integrate (or don't), and your current manual processes that could be automated. It's delivered as a written report with findings and a prioritized action plan. Most audits take 2–3 weeks from intake to delivery, depending on business complexity.

We're a non-technical team — will we be able to handle the systems you set up?

We design every implementation with your actual team in mind. That means choosing tools that match your team's comfort level, building simple and clear workflows, providing training, and creating documentation you can actually use. We've successfully implemented technology for business owners who were running everything from paper and spreadsheets. You don't need to be technical — that's what we're here for.

What is computer vision and could it help my business?

Computer vision is a type of AI that allows cameras and software to 'see' and interpret the physical world in real time. For businesses with physical operations — food processing, manufacturing, agricultural packing, warehouse operations — it can automate inspection tasks that currently require human eyes: detecting defects, counting units, monitoring fill levels, flagging quality issues. We design and build custom systems for specific use cases, typically on hardware that's small enough to mount above a conveyor line. If you're doing any kind of visual inspection or counting manually, contact us — there's a good chance we can automate it.
